ANNUALIZATION OF CLASSES AT HSFI
As we move into the Spring term, it is important to remember that we are using an annualized instructional approach for many of the classes that we offer here at HSFI.  A list of annualized and non-annualized classes at our school was emailed to last week along with the HSFI Grading Policy for 2017-18 and a New York City Department of Education document on academic policy that can help explain the annualized model.
For non-annualized classes, students are starting from scratch on January 30 when the Spring term begins.  Students will be given grades at the June 2018 based on the mastery of the class content from January until June.  Grades are cumulative taking into account marking periods one, two and three of the Spring term.
For annualized classes, students are continuing the classes that they began this past September.  Obviously, you have given students grades for the Fall term based on the cumulative grades from September to January.  Students received or did not receive credits based on these grades.  Under this annualized model, you will give students grades at the end of June based on the mastery of the class content that covers the entire school year from September until June.  The students’ performance at the end of the school year will be the primary determinant of the final grade associated with the course.  Spring term is also a clean start for students. Spring term classes should encompass course content from both the first and second term in order to show mastery in the subject. The June grades will be cumulative based on student performance that covers the entire school year from September until June.
Here are 4 scenarios of student performance:

A student passes both the Fall and Spring terms of either annualized or non-annualized classes → the student receives 2 credits and moves along in the sequence of courses
#2
A student fails both the Fall and Spring terms of either annualized or non-annualized classes → the student receives 0 credits and will need to recover those credits in summer school or through after school SOARR Academy

If a student failed an annualized class in the Fall, but passes in the Spring → the student receives a ‘P’ (Passing) credit for the Fall – the 55 from the Fall term stays on a students’ transcript.  The student would have received 2 credits and moves along in the sequence of courses.  A transcript update will automatically be generated from the school reflecting the ‘P’ credit.

If a student passed an annualized class in the Fall, but fails in the Spring → everything stays the same - the student receives one credit for the Fall and no credits for the Spring and will need to recover that credit in summer school or through after school SOARR Academy.
One issue that exists for the school because there is a mix of annualized and non-annualized classes is Jupiter grades.  We are unable to set up Jupiter specific to the type of class; we need to set up classes in Jupiter in all the same way.  Classes on Jupiter will be set in a non-annualized format where students are starting out from scratch with a new term.  This is obviously true for non-annualized classes.  We need to communicate for our annualized classes that even though Jupiter has Spring classes starting fresh, this is not the case and that the grades in June will be a reflection of the mastery of content over the course of the entire school year.


LATENESS PLAN 2.0
We will continue to focus on the importance of being on time to school – here are 4 main parts of the lateness plan that we will rely on moving forward:
READINESS GRADES – 10% of every teacher’s grade should be based on Class Readiness, meaning they are in their seats ready to work once the music has stopped playing
PHONE CALLS HOME – based on when students swipe in every morning, all late students will be called by the school letting parents know their children were late
GUIDANCE COUNSELOR FOLLOW-UP TO HABITUALLY LATE STUDENTS – Our guidance staff will be receiving a lateness report every week and will be following up with the students who had the most difficulty getting to school on time
POSITIVE REINFORCEMENT OF FASHION DOLLARS – As you are aware, students are receiving 5 Fashion Dollars for every day that they are on time and through a geometric series created by Mr. Stampone, receive additional Fashion Dollars for being on time consecutive days in a row

STOP EVERYTHING & REFLECT – CONTINUES NEXT MONDAY, FEBRUARY 12
As part of our ongoing efforts to check-in with our students to see how they are doing and feeling, we will continue our ‘ STOP EVERYTHING & REFLECT’ activity on Monday, February 12 where we will be asking students to write a brief reflection to the following questions:
□ Is something Positive going on in your life?  If so, describe
□ Is something bothering you at school? If so, describe
□ Is something bothering you at home? If so, describe

The original plan was to do this every 2 weeks.  Based on student and staff feedback, we will be doing this activity every Monday moving forward with some slight adjustments.  Once a month (starting next Monday, February 12) we will be asking the entire school to do this reflection piece / on the Mondays in between, only students who wish to do the reflection based on changes in their lives will do the reflection piece.  Teachers are to given students this time for these reflections every Monday instead of school announcements.  This will be done during the 5 minute announcement time during Period 3 – besides the Pledge of Allegiance, there will be no announcements on that particular day.  Teachers can decide which 5 minutes of the class period that they want students to do this activity. 

The main purpose of this reflection is to provide information to the guidance staff about students.  Teachers spend a lot more time with students and educational research indicates that students share more information with teachers because they see them every day and develop a strong comfort level with them.  Counselors will see the responses from the students in their caseloads and be able to follow up appropriately to do additional check-ins and provide resources to students and their families.  These reflections will provide important information to our guidance counselors in order for them to contribute even more to looking out for our students.

27th ANNUAL CAREER DAY @ HSFI
It's almost that time of the year again and Career Day is quickly approaching. Our 27th Annual Career Day will take place on Friday, March 9th, 2018 from 9:00 AM to 12:00 PM.  Industry leaders are invited to participate in a morning designed to connect our students to prominent people in the world of fashion, retail, and media.  Our goal is to help our students broaden their horizons and give them an inside look at an array of careers to promote success beyond fashion industries. 
The format for Career Day is as follows: students register for two forty minute presentations.  The first presentation is scheduled to run from 9:40AM till 10:20AM; the second from 10:30AM till 11:10AM.  There will be between 25 – 35 students per presentation. 
Please advise the Career Day presenters that you invite to either

ELEVATOR UPDATE
Great news on the elevator front – the NYC Department of Education has just approved a full repair project of all 6 elevators – this project will include preventive maintenance of each elevator - one elevator at a time will be shut down as work is being performed.  Repairs have begun already.  We will be sending updates daily on the status of the elevators. 
Additionally, beginning at 4:30 pm each day, we will only have 1 elevator on each side in operation in order to minimize the work load on the elevators.
Thank you for your patience with this situation – as you can see, the issues will be taken care of.

FALCON HEALTH CENTER PHONE ISSUES / CONTACT #
There is a glitch with the Falcon Health Center phone system, so unfortunately the only way to get in touch with the Falcon Health Center is to call directly using the number (646) 559-9351.  Their phone system is being serviced and we hope to get you a direct extension soon.

CANNOT LEAVE STUDENTS UNATTENDED
You cannot leave students unattended anywhere in the building – a classroom or office, the Auditorium or Cafeteria – if you have to leave a particular area, ask the students to leave with you.

PROTOCOLS FOR RESPONDING TO CLASSROOM INCIDENTS
In the event of an incident in your classroom that creates disruption (student is defiant and / or uncooperative) but is NOT A THREAT to student and/or staff safety, the following protocol should be
followed:
□ Classroom management, i.e., using your skills as an educator to move on from the situation, followed by
□ A phone call to your Supervisor informing them of the incident and the steps you have taken to address the matter, followed by
□ A referral to the Peace Center and/or the Guidance Department via Google Docs., followed by
□ Outreach to parents, informing them of their child’s misbehavior, and request for family support to correct the matter.  

In the event of an incident in your classroom that involves an immediate THREAT to student and/or staff safety, the following protocol should be followed:
□ A phone call to the Peace Center (x1491 or x1431) informing available staff of the incident and requesting assistance, followed by
□ A phone call to School Safety (x1341) informing them of the location and nature of the incident and requesting assistance, followed by
□ A call to your Supervisor informing them of the incident and the steps you have taken to address it.

CHAPERONES NEEDED FOR SCHOOL DANCE ON FEBRUARY 10
The dance theme is ‘Black and White Ball.’  Just a reminder that Prom is coming in May and chaperones that have assisted during other dances get priority invites for Prom. So, if you are interested in chaperoning Prom, remember to sign up to chaperone this dance -- there is only one other chance left.

THE ANSWER IS IN THE ROOM
Here are some highlights of the best practices shared by HSFI Staff Members.  This round focuses on the use of scaffolds and TWR in the classroom:

In the Math Department, Ms. Magner created a scaffold which compared how to solve various systems in algebra.  The handout was used as a summary in a Regents prep class to help students distinguish between different methods taught.

In the English Department, Mr. Kearns created a TWR review activity for his E1 students.  The activity involves using several TWR strategies from throughout the term as they were reading a Midsummer Night's Dream.

There continue to be issues with staff filling out attendance sheets – absent students are being marked present which could put the school in legal jeopardy.  Make sure your attendance sheets are accurate.

□ Confirmation Sheets are due Friday January 26
□ Please make sure you are taking accurate attendance.  You must keep a record of class attendance. This year we had several attorney's request copies of attendance sheets for the courts.  The attendance sheet is a legal document

The NYC Department of Education has created a central location to access key student information – www.nycenet.edu/studentprofile
You have been emailed a one page summary of this resource.  Here are the key categories of the ‘Student Profile’:
Grades – current and historical report card grades
Assessments - previous Regents scores
Attendance - current and historical daily attendance including lateness
Schedule – students’ current schedule
Details – student biographical and demographic information including Special Education and English Language Learner (ELL) status
Enrollment – enrollment history including all NYC schools attended
Guardians – all the adults on the students’ biographical record including contact information and preferred language
